Job Description

MindMaze is growing in the USA, this position is new to the US organisation and is highly exciting for someone curious and self-driven willing to join a promising scale-up. You will be the right-hand person of the Global Chief Commercial Officer and the first point of contact for all internal and external customers.

This is a very versatile position where you will oversee the day to day activities of our Global CCO and take on additional responsibilities especially you have a particular interest in Sales and Marketing!

This position will begin as remote, however, it will eventually be required to go the the office in Holmdel, Monmouth County.

 

Principle Responsibilities:

  • Ensure smooth communication between the Global Chief Commercial Office (GCCO) and external partners, clients, and networks.
  • Act as a “gatekeeper” for direct access to the GCCO’s time and office.
  • Own and proactively manage the GCCO’s complex, ever changing, high volume calendar across numerous time zones
  • Organize and coordinate executive outreach and external relations efforts
  • Assist in coordinating the agenda and notetaking for team meetings
  • Manage critical deliverables and projects independently and/ or in cooperation with internal teams
  •  Prioritize and determine appropriate course of action, referral or response on incoming issues and concerns including those of a sensitive or confidential nature
  • Draft presentations to support the global strategy’s deployment 
  • Proactively support all client and partner engagement initiatives
  • Coordinate travel (flights, reservations…);local/internationally
  • Organize and coordinate executive outreach and external relations efforts
  • Manage critical deliverables and projects as per request, independently and/ or in cooperation with internal teams
  • Prioritize and determine appropriate course of action, referral or response on incoming issues and concerns including those of a sensitive or confidential nature

 

Qualifications

Required Skills:

  • BA Degree in business administration or a related field
  • Minimum 7 years of previous work experience as an executive assistant supporting C-Level executives
  • Previous work experience in the Healthcare industry
  • At ease to evolve in a very agile environment
  • Self-motivated, you do not always wait to receive information you go and find it
  • Proficiency in MS Office suites and software applications (such as Trello, Slack…)
  • Excellent interpersonal skills: ability to build constructive work relationships and to nurture a trust and confidentiality; ability to promote a positive working atmosphere.

 

Desired Skills:

  • Ability and willingness to develop skills in other office packages (Confluence, Jira…)
  • Experience in a start-up environment a plus
  • Marketing experience or Communication experience would be a plus
