We’re looking for an outgoing, ambitious, reliable, and task oriented Office Administrator that will be responsible for assisting in the day-to-day office and administrative operations. This Office Administrator will be based in San Francisco but will play a key role in a cross functional capacity, company wide. This person will have touchpoints and ability to provide impact on all levels of the organization. This role will be ideal for someone who is passionate about creating an amazing employee & visitor experience for the San Francisco office, someone who is comfortable problem solving, runs towards challenges and seeks out improvements, both big and small. To be successful in this role, you will need to be extremely well-organized, have good time management, fluid and consistent communication skills, and be a proactive self-starter. You will report directly to our Director of Administration.
What you will do:
- Oversee San Francisco office, maintaining supplies, food/beverage services, etc. You will be responsible for ordering office supplies and making sure the site is well stocked and ready for employees, visitors, onsite meetings, etc.
- Act as main point contact for building management. You will communicate regularly with the WeWork team to ensure a functional, safe, healthy, and secure workspace at all times.
- Assist in the planning and execution of various virtual and physical employee events, including, team outings, offsites, dinners, mixers, etc.
- Work closely with IT to support and troubleshoot various audio visual systems, meeting space reservations, meeting preparations and conference room management.
- Manage and process all mail, product returns, shipping, receiving, deliveries and inventory tracking.
- Foster a productive and comfortable work environment, build team culture, and establish operational processes in San Francisco and our additional US offices.
- Assist with general administrative duties and special projects as needed.
- Work closely with the Administration and People teams on office and administration communications, Confluence, Slack, etc.

Requirements
We would love to have you on our team, if you have:
- At least 1 year of experience in office management or general administrative duties
- Bachelor’s degree or equivalent
- Strong organizational, project management and problem-solving skills
- Ability to be resourceful and proactive in dealing with issues that may arise
- Ability to handle sensitive information with discretion and maintain confidentiality
- Appreciation for fast paced startup office environment
- Ability to gracefully handle competing priorities simultaneously
- A positive attitude and a willingness to step in with a “can do” attitude to help where needed
- Tech-savvy skills (experience with Confluence, G-suite and Slack preferred)
