Summary

The Society for Neuroscience is looking for a self-motivated and agile professional to support our procurement function. The AP and Procurement Associate provides support for the purchase and AP processing for all materials, supplies, equipment, and services acquired by SfN. This position will enter payables into eRequester and provide general administrative support for the procurement department.

 

You’re responsible for:

  • Completing AP data entry ensuring all accounts payable invoices, credit card transactions, vendor expense reimbursements, purchases and other requests get processed and recorded in compliance with accounting and procurement policies and sound internal control.
  • Reviewing requisitions for completeness and adequacy of technical specifications and in compliance with procurement and accounting policies. 
  • Processing standard non-financial agreements (confidential disclosure agreements, use agreements, photo release forms).
  • Preparing weekly and monthly cash requirement reports and reconciliation reports. 
  • Maintaining procurement SOPs.
  • Maintaining the e-procurement system, performing administrative and maintenance duties to ensure the system functions within established policies and procedures. 
  • Establishing and maintaining effective and cooperative working relationships by communicating and following up with internal and external resources in a timely manner.

 

Essential Knowledge, Skills, and Abilities:

  • Ability to establish and maintain effective work relationships with staff and membership.
  • Ability to organize work effectively, conceptualize and prioritize objectives and exercise independent judgment based on an understanding of organizational policies, activities, and goals.
  • Desire to learn basic contract terminology and law.  
  • Desire and ability to take ownership of processes from conception to result. 
  • Ability to communicate effectively – verbally, by phone, in person, and in writing.
  • Ability to work independently as well as within a team environment.
  • High attention to detail with effective problem-solving skills.
  • Ability to multitask and be flexible to multiple requests.

 

Education and Experience:

  • Bachelor’s degree in related field required.
  • One (1) year of administrative, accounting, or purchasing related experience.
  • A comparable amount of training or experience may be substituted for the minimum qualifications.
