Primary Activities
- This position is responsible for administratively supporting the Houston main lobby front desk.
- Answer incoming telephone calls, operate switchboard to redirect calls or, if necessary, take and forward messages on a timely and accurate basis
- Act as a first point of contact for visitors by greeting, answering or referring inquiries and directing them appropriately
- Assisting clients in finding their way around the office.
- Answering phones in a professional manner, and routing calls as necessary
- Assist with coordinating and facilitating company events
- Monitor and maintain appropriate inventory of general office supplies
- Assist with coordinating and/or setting up meeting rooms
- Types and processes various reports, correspondence, internal memos and etc.
- Provides direct administrative assistance to the Facilities department and assistance to his/her direct reports
- Performs general secretarial and clerical duties to include travel coordination, typing correspondence, filing, copying, and preparation of overnight packages.
- Provides friendly and courteous service to all employees and external customers
- Performs other duties as may be required by management
Minimum Requirements And Qualifications
- High School Degree or equivalent
- 2-5 years administrative experience
- Excellent organization ability
- Excellent written and verbal communication skills
- Excellent skills in MS Office Suite
- Ability to maintain a high degree of confidentiality at all times and use tact and discretion when working with sensitive information.
- Demonstrate initiative, organized work habits, and be capable of performing daily work assignments in a professional manner with moderate supervisory input.
- Ability to collaborate within a team and with all levels of the organization, with diverse backgrounds
