Job Description
The Manager of Funded Collections is responsible for managing all medical receivables from Medicare, Medicaid, private insurance, and patients. This includes managing cash collections, denial resolution, and credit and refund processing by supervising the day-to-day operations of the Funded Collection Specialists. This role supports cash operations by ensuring that medical accounts receivable balances are worked promptly and efficiently and that established standards with respect to days sales outstanding and aging are achieved.
Key Responsibilities:
- Oversee all facets of the daily operations related to Funded Collections.
- Act as a resource for the team; answer questions and provide recommendations for the resolution of issues as requested.
- Respond to escalated issues involving customer inquiries, sales staff concerns, and third party payers.
- Approve write-off requests and obtain additional levels of approval as needed. Adjust write-offs in AMD and scan in supporting documents/approvals.
- Ensure compliance with all corporate policies and procedures, third party payer requirements, and governmental laws and regulations
- Provide regular communication with the team and management regarding collections.
- Staff, hire, and train new Funded Collectors and coach, monitor, and document employee performance
- Where needed, create process and/or templates for the Funded Collectors. Examples include:
- Create templates to be used in the appeals process (i.e. letters to be used during the different stages of the appeal process and/or in response to typical appeal situations).
- Create training for new hires.
- Create training/guides for other departments in order to facilitate understanding of information needed for collections and the collection process in general.
- Monitor the collection process, which includes:
- At least quarterly, reviewing outstanding accounts receivable balances for all Funded Collectors; providing feedback to the Funded Collectors on findings.
- Attend quarterly audit results meetings, discuss results with the team, implement new processes and/or policies to address audit results, as needed.
- Monitor credit balances (unapplied cash); verify that the Funded Collectors are regularly reviewing these balances and are working to resolve them.
- Work closely with the Manager of Funded Billings and Cash Posting, the Funding Team, and the Contracting Team to:
- Create policies and procedures for the teams.
- Facilitate communication and a healthy working relationship between team members.
- Resolve collection issues.
- Provide assistance to the Accounting Team when needed. Examples include:
- Quarterly review of select accounts for collectability.
- Assist with the pulling of support requested by the auditors during the financial statement audit.
- Actively engage in process improvement initiatives (especially technology improvements) to enhance the department’s performance and develop and monitor the implementation of new policies and procedures.
- Compile, prepare, analyze and publish reports that accurately reflect collection activities.
- Provide educational support on the collection process and represent the team during inter-departmental meeting and training sessions.
- Perform various other duties as assigned.
Qualifications
Minimum Qualifications:
Education / Experience Requirements:
- Bachelor’s degree with five years of Medical Collections experience or three years Medical Accounts Receivable management experience in a complex service/payer setting
- Knowledge of state, federal, and third-party payer criteria and funding regulations
- Knowledge of Durable Medical Equipment (DME) Billing and Prior Authorization preferred.
- Knowledge of payment posting process regarding contractual adjustments and refunds preferred.
Communication Skills:
- Excellent oral and written communication and presentation skills
- Strong interpersonal and customer service skills
- Collaboration and teaming skills
Computer Or Technical Skills:
- Proficient in the use of MS Office Word, Excel, PowerPoint and Outlook
- Experience with commercial healthcare related database applications preferred.
- Experience working with IT Departments to make technology enhancements to processes a plus.
Other Skills Requirements:
- Ability to work in a fast paced environment and handle multiple tasks at the same time
- Able to maintain composure and professionalism under stressful situations
- Ability to lead change management initiatives
Work Environment Requirements:
- Ability to sit at a desk for a prolonged period of time.
- Ability to work with interruptions in a fast-paced environment.
