Job Description.

Cajal is seeking an Executive Assistant, reporting to the Chief Executive Officer, motivated by Cajal’s mission to develop new medicines for patients suffering with neurodegenerative disorders. We are a multi-disciplinary team of experienced scientists, combining state-of-the-art approaches in computational biology, functional genomics, high-throughput imaging, translational models, and drug discovery. In a short time, we have assembled a terrific team of talented, innovative, and passionate individuals to transform the field of neurodegeneration drug discovery. We aim to identify novel drug targets based on a deeper understanding into the spatiotemporal progression of disease and translate those discoveries into therapeutics that change the course of neurodegeneration. 

Cajal is now expanding to establish a world-class drug discovery organization. As part of our growing start-up team and environment, you will participate directly in the identification of business needs this role will deliver on as our organization evolves.

 

Responsibilities:

  • Partner with the Chief Executive Officer and leadership team to ensure efficient and effective management of executive rhythms and cadences, facilitating flow of information necessary for organizational alignment.
  • Independently manage complex and frequently changing calendars for the Chief Executive Officer, and, on occasion, other executives in the C-Suite (currently the Chief Operating Officer and the Chief Scientific Officer). Proactively scan calendars to anticipate and resolve conflicts.
  • Manage logistics and communications for Board of Directors members, Scientific Advisory Board members, key consultants, potential investors and other high-profile external contacts as a trusted and independent liaison for the Chief Executive Officer.
  • Drive material management, calendars, logistics  and communications related to meetings the Chief Executive Officer runs, such as the All Staff meetings, Leadership Team meetings and Board of Directors and Scientific Advisory Board meetings. 
  • Develop and support creation of presentation slides and business documents, internal communications and related executive-level tracking and documentation.
  • Track and drive to completion key action items created by the executive team (convening suggested meetings, collecting relevant information, following up with relevant participants) and provide follow up on outstanding items.
  • Manage org charts, domestic and international travel arrangements, including detailed itineraries and trip planning,  expense reports, electronic filing systems, databases, and other online tools and resources.
  • Manage internal and external meetings (calendaring, basic setup of AV equipment, minute taking, document generation).
  • Additional executive and team support as needed.

  • have a bachelor’s degree required or equivalent experience
  • able to move swiftly between operating systems (PC and Mac), comfort with Macs (Apple) and Google Suite products such as google slides, google documents, which are a primary tool at this time, and also have a proficiency in Microsoft Office applications (and converting executive comments between drafts, with different programs and operating suites)
  • are comfortable with multiple forms of communication such as email, Slack, Zoom, phone, text.
  • are available to provide occasional assistance by phone on nights and weekends.
  • have prior experience supporting a senior executive in a biotech or high-tech environment, especially a startup.

 

Important Considerations

  • Cajal operates as a hybrid workplace. This role will primarily operate on-site in our Seattle offices with some remote flexibility. 
  • The annual base salary range for this role is $85,000 – $120,000*

*Final salary depends on qualifications, experience, and level of skills relevant to the role, along with location, where applicable.
