Facilities Clerk

 

Overview

To ensure and provide excellent customer service to our internal customers through oversight and follow through of daily activities associated with facilities work order requests, preventive maintenance, mail services, and vendor services. Maintains preventative maintenance documentation for Facilities, Mechanical Engineering and other departments as required.

 

What you’ll do:

  • Enter, schedule and distribute work order requests as received through computerized preventive maintenance work order system (MPII). Follow through with internal customers regarding expected completion time and clarification of requests if appropriate. Ensure that work orders are complete within specified time frame and to customer’s satisfaction.
  • Generate Preventive maintenance work orders (Pm’s) on a weekly basis. Ensure PM’s are completed and turned in by due date. Follow through as required. Assist with identifying required PM’s per GMP requirements and ensuring they are entered in the system.
  • Close completed work orders and PM’s. Ensure appropriate paperwork is signed off. Enter additional comments, corrective action needed or taken, and time spent on task. Maintain PM and work order files.
  • Ensure appropriate documentation and authorization is received prior to scheduling work in controlled areas. Keep organized GMP documentation.
  • Act as primary Facilities contact. Includes, covering Facilities main line and routing or responding to calls and emails as appropriate and assisting internal walk–in customers as required. Use problem solving techniques, tact and discretion when handling calls. Requires daily interaction with Facilities personnel to discuss work load scheduling and assignment.
  • Run weekly open and past due work order reports. Review reports for accuracy and distribute to the appropriate department head. Follow up on past task assigned to Facilities. Share results with staff and update with comments and delay description if appropriate.
  • Perform other facilities related administrative duties as needed to maintain compliance with governing agencies.
  • Other duties as assigned.

 

Travelling Requirement:  Limited

 

What you bring to the team:

Education: H.S. Diploma is required

Nice to Have: A.A. Degree

 

Work Experience

  • Minimum of 4 years work experience in a customer service environment and/or a record management role.
  • Experience working in a medical device manufacturing plant or Facilities Department may also be considered in lieu of education or work history.

  • Excellent written and verbal communication required
  • Strong math and reading skills
  • Ability to read blue prints and understand motor schematics
  • Ability to write reports, create graphs using Microsoft Software
  • Must be able to work with all levels of management and peers.  Ability to maintain professionalism among peers and communicate effectively will all levels of the organization.

 

Language(s)/ Level: English/ Proficient, great verbal and written communication skills.

IT Skills:  Working ability in Microsoft Excel, PowerPoint and Microsoft Access is required.

Pay Ranges: $20.62/hr – $29.18/hr
