The Role

The Marketing Events Planner will be responsible for coordinating all logistics for company events including trade shows, scientific programs, and associated programs around the globe. 

In this role, the individual will be required to manage teams indirectly, be detail oriented, able to translate the agenda and plans of conference to the attendees, is creative enough to find innovative ways to reach our audience and is willing to be a team player not only in the Marketing department but also across teams at Mainstay Medical. 

 

Position Responsibilities

  • At the direction of the Director of Clinical Marketing & Business Intelligence and working in tandem with the commercial team and medical education teams to meticulously plan detailed agendas, coordinate all logistics, and execute any and all needs around scientific events including conferences, meetings, remote and local events.
  • Manage society sponsorship levels and relationships.
  • Prepare, manage, and maintain worldwide trade show, and regional sales show calendars for approved shows.  Actively manage reservations, and attendees. Build professional relationships with our physician base and provide expert level of customer experience.
  • Creatively drive attendance to the actual events.  
  • Research and obtain related show information and disseminate to the attendees.  
  • Solicit ongoing input from departmental staff regarding upcoming shows.               
  • Schedule, coordinate and facilitate trade show planning meetings. Identify all participants, create and provide all relevant meeting information, and documentation.
  • Coordinate speakers, content and manage Mainstay speakers during events.            
  • Manage all trade and sales show logistics from pre-planning through post-show.  Prepare related show reports as requested.  
  • Coordinate all related logistics, including shipping, booth construction, services, AV, sponsorships, etc.
  • Manage content, collateral, and corporate presence at trade shows and conferences.
  • Participate in special projects and perform other duties as required.
  • Coordinate with professional printers on hard-copy printed materials for events.
  • Stay within budgets for events and all coordination efforts.
  • Host in person meetings, greet, and coordinate professional VIP treatment of customers and attendees.                                                                                                      
  • Maintain documentation and inventory of all trade show properties (US, EUR, AUS).  
  • Develop and maintain trade/sales show planning tools and processes (e.g., trade show binder documentation; forms, etc.).                                 
  • Negotiate contracts with vendors/societies.                           
  • As needed, research and negotiate contracts with freight vendors. Provide recommendations to supervisor for review and approval.                                         
  • Create related show reports as requested.  Review effectiveness of show.
  • Complete other related responsibilities as assigned.

 

Qualifications

  • At least 5 years of related experience (preferably in a medical environment or medical trade show planning) with a Bachelors degree, or 3 years and a Masters degree, or a PhD without experience, or equivalent work experience. 
  • Ability to travel and to independently manage travel schedule and logistics up to 30%
  • Demonstrated knowledge of global freight/shipping methods (air, ground, and customs).
  • Basic understanding of print advertising desired.
  • Demonstrated knowledge of personal computer software in a business environment, including word processing, spreadsheet, and project planning software.  Microsoft Office preferred.
  • Demonstrated attention to detail and accuracy.
  • Excellent typing, proof-reading, and basic mathematical skills.
  • Excellent verbal and written communication skills.

 

The salary range for this position is $93,000 to 115,000/year; however, base pay offered will take into account a range of factors, including job-related knowledge, skills, and experience. The total compensation package includes a range of medical, dental, vision, financial, and other benefits, as well as equity.
