Business Operations Specialist / Office Coordinator

We are currently searching for a Business Operations Specialist to join our team! We are seeking a highly motivated, enthusiastic, tech-savvy and creative individual who is detail-oriented and able to work well in a small office and entrepreneurial environment. We are looking for someone who would like to keep our office running smoothly, support our Scientific Leads/Business Development Managers in project-related tasks and assist with marketing efforts.

 

Primary Function

  • The first point of contact for sales and inquiries, providing pricing and quotations.
  • Oversight of sales process including order processing, fulfillment, data entry and management.
  • Work closely with international manufacturers ensuring that each order has the paperwork required.
  • Manage account payable and receivables reports, following up on overdue invoices.
  • Prepare all shipments using FedEx and UPS.
  • Develop content, plan, and write external newsletters to be distributed in a timely manner.
  • Draft and distribute press releases and media alerts.
  • Create presentation material for workshop, conference, symposium, and events as needed.
  • Improve current marketing project inserts and add new ones accordingly.
  • Update the website with press releases, blogs, and new project renderings or photos.
  • Help execute marketing initiatives– internal events and product marketing.
  • Customer support including but not limited to phone contact, emails, etc.
  • Strong knowledge of Microsoft Office programs, CRM-SalesForce (data entry and track changes).
  • Additional duties as determined by management.

 

Preferred Qualifications

  • BA degree in marketing, communications, or related discipline.
  • 2-4 years of digital marketing with extensive writing experience.
  • Prior experience or involvement in medical devices distributorship preferred.
  • Adaptive to SaleForce CRM Software is a must.
  • Ability to work independently with extraordinary follow-through.
  • Reliable, responsible and strong work-ethics.
  • Clear and concise communications skills (both written and oral).
  • Excellent interpersonal skills and ability to contribute energy, creativity, and humor to work.

 

Salary and benefit plan is competitive and commensurate to experience.

Job Type: Part-Time to Full-time
