College/Department Information
The Department Of Neuroscience and Regenerative Medicine was founded in 1993 as the Institute of Molecular Medicine and Genetics. We seek to attract outstanding faculty and bright students by creating a welcoming, collegial, and collaborative environment to foster success and creativity. Our faculty¿s research focuses on a variety of fundamental areas, ranging from neurodegenerative and neuropsychiatric disorders, brain injury, learning and memory, neuroprotection, development, inflammation, and regenerative medicine, using a broad repertoire of experimental approaches. Our department is also the home to the Transgenic and Genome Editing Core, which is supported by the Georgia Research Alliance.
The Medical College of Georgia is the state’s only public medical school. Founded nearly 200 years ago in 1828 as the nation’s fifth public medical school, the third medical school in the Southeast and the thirteenth in the nation, the Medical College of Georgia has one of the largest class sizes in the country. Job Summary
This is a combination of operations/budget/accounting-type positions with responsibilities for specialized business services related to the Department of Neuroscience and Regenerative Medicine. The duties include, but are not limited to: planning, directing, and managing sponsored research and State budgets and financial processes for the faculty of the department; preparing financial records and analyses and providing recommendations for budget and purchasing decisions; reconciling budget reports through PeopleSoft Financials and also assisting the Department Administrator with the annual budget preparation. Additional responsibilities include: providing guidance and training to staff, ensuring compliance with University policies and procedures; providing knowledge and expertise on grant and contract proposal preparation, contract and subcontract negotiations, and rules and regulations of state, federal, and sponsoring agencies; serving as a liaison between investigators and administrators and the agency officials. Additionally, this position is responsible for serving as backup to the Department Administrator for Time and Attendance and oversight, P-Card reconciling, security access approving, and participating in the Effort System reporting.
Responsibilities
Responsibilities to include but not limited to:
- Manages/oversees procurement for DNRM – 20
- Manages/oversees procurement for DNRM’s 25+ labs and cores using eShop, P-Card, PeopleSoft and eSirius. Manage department equipment contracts working directly with faculty and staff to determine if core equipment contracts are to be renewed, opting for most cost-effective solutions.
- Reconciles DNRM’s 100+ CFCs with PeopleSoft – 15
- Reconciles DNRM’s 100+ CFCs with PeopleSoft Financials reports for Personnel, Supplies, Travel and Equipment funds. Provides monthly budget reports to Principal Investigators and Department Administrator. Ensures funds are available in appropriate categories to prevent delay of time sensitive orders.
- Reconciles and enters P-card transactions – 15
- Reconciles and enters P-card transactions for all cardholders in DNRM. Position is responsible for entering and allocating all charges to ensure compliance for a large department.
- Processes Travel Authorizations & Travel Expense Statements – 20
- Processes all Travel Authorizations and Travel Expense Statements ensuring all state policies are adhered to; must stay current on all new policies and procedures and communicate to faculty and staff. Processes all service agreements/reimbursements for weekly External Seminar Speakers and ongoing Faculty Recruitment activities.
- Oversees departmental compliance with policies and procedure – 15
- Oversees departmental compliance with Augusta University policies and procedures on all lab orders, IDRs, P-card purchases, Check Requests, and any other expenses. Educates departmental faculty, students and staff on Augusta University policies and procedures regarding eShop and P-Card usage via hands-on training sessions.
- Supports Department Administrator – 15
- Submits ePARs, assists with Effort Reporting, Timekeeping/Payroll, Inventory (Computer and Capital Asset) and Budget duties for DNRM. Position is the sole backup support person for the Department Administrator.
Required Qualifications
- Bachelor’s degree from an accredited college or university in Business Administrative or related discipline & Two years administrative and/or management experience. OR Associate degree from an accredited college or university and 3 years administrative and/or management experience.
Preferred Qualifications
- Working knowledge of AU’s policies and procedures. Complete understanding of the structure and guidelines related to National Institutes of Health sponsored projects.
Knowledge, Skills, & Abilities
- Ability to maintain confidentiality.
- Excellent interpersonal, written, and verbal communication skills.
- Proficient in Microsoft Office and other computer software/databases.
Shift/Salary/Benefits
Shift: Days; Monday-Friday (Work outside of normal business hours may be required).
Pay Grade: 16 Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position.
