The Research Administrative Coordinator works under the direction of the Associate Director of Neurosciences Research Operations and Neurosciences Program Administrators of the assigned research areas. The incumbent provides reports pertaining to the budgetary and fiscal management of research programs, assists in coordinating division academic activities, and provides assistance with time and effort reporting. This role serves as a liaison to internal departments and external philanthropic and academic organizations. The Coordinator provides administrative support and coordination of the operational and administrative activities for the Research Operations Managers and Neuroscience research areas.

 

Primary Duties and Responsibilities:

  • Coordinates the administrative and office management systems for the department/unit. Edits policy and procedure manuals. Disseminates information including announcements, policies and procedures.
  • Maintains calendar of events and tracks deadlines, schedules meetings, makes travel arrangements, and submits travel reimbursements.
  • Composes and edits written correspondence and reports.
  • Assists in generating monthly fiscal reports and distributing to faculty.
  • Assists with creation and maintenance of budgets for research programs.
  • Serves as a point of contact between departmental administrators and Sponsored Research and Funds Administration.
  • May assist DRA and/or Principal Investigator with completing and submitting federal and non-federal grants.
  • May assist with pre- and post-award grant administration functions. May assist with tracking project metrics.
  • Applies federal and state regulatory and licensing requirements, as well as organizational bylaws, rules and regulations and policies and procedures to all assigned projects, and assists with implementation of new regulatory and compliance related programs.
  • Assists with the daily activities of Associate Director and Program Administrators, as well as related faculty members including project management and execution of strategic planning.
  • Tracks HR compliance and regulatory activities for research staff members, including maintenance of HR files, new hire paperwork, coordination of regulatory and compliance training, etc.
  • Coordinates academic activities, seminars, lectures, and meetings as assigned.
  • May prepare course syllabi, develop audio visual materials using PowerPoint and other applications, and gather information for presentations.
  • May conduct literature searches and format manuscripts for submission and publication. Tracks peer- reviewed publications.
  • Adheres to procedures for office management and compliance with CSMC administrative regulations and requirements.
  • Assists department management with other duties as necessary.

 

Department-Specific Duties:

  • Provides management assistant support for Associate Director and Department Program Administrators.
  • Assists principal investigators in planning, budget preparation, internal approval, and submission of NIH, foundation, industry, and internally funded research grants and contracts.
  • In collaboration with Department Research Administrators, Academic HR, and Visa and Immigration Compliance, coordinate onboarding/offboarding of research staff, research interns, visiting scientists and those requiring visa processing for Neurosciences research.
  • Provides back-up support for other Research Administrative Coordinators and Neuroscience Clinical Operations Sr. Administrative Assistant position, as needed.

 

Requirements and Skills:

  • High School Diploma/GED, required.
  • Bachelor’s degree, preferred.
  • Experience in a research environment, preferred.
  • Experience with research administration, including extramural grants and industry-sponsored clinical trials, preferred.
  • Strong understanding of financial management, budgeting, and fiscal tracking methods.
  • Effective and professional verbal and writing skills.
  • Proficiency in Word, PowerPoint and Excel (preferred knowledge in Photoshop)

 

Physical Demands:

The overall physical ability and perceptive acuity to satisfactorily complete all functions.  Able to perform moderate lifting. Able to sit, stand and walk for prolonged periods of time. Able to read papers and online documents. Able to operate standard office equipment.
