Job Overview:

We are seeking a dynamic and detail-oriented Marketing and Events Coordinator to support the Marketing Manager (MM) in managing the conference calendar. The ideal candidate will play a key role in the event coordination process, vendor management, and ensuring compliance with company policies. This position requires strong organizational skills, attention to detail, and the ability to coordinate various aspects of marketing events and initiatives.

 

Responsibilities:

  • Conference Calendar Management:
    • Assist MM in managing the conference calendar within allocated budgets.
  • Administrative Process (using iBuy platform):
    • Submit commercial sponsorship to comply with relevant event information in coordination with event organizers, vendors, channel partners, and other stakeholders.
    • Ensure good management of vendor quotations, invoices, and purchase orders.
    • Submit forms for approval and send them to Finance for verification and payment.
  • Event Logistics:
    • Ensure all necessary arrangements are completed per the Marketing Manager’s instructions, including InfoPack creation for attending associates and arranging the delivery of marketing materials (banners, posters, brochures, merchandise).
    • Create lead capture forms when needed.
    • Maintain an inventory of sales support materials, ensuring they are current and accurate.
  • Collateral Management:
    • Assist MM with flyer creation, including registration forms for local events.
    • Source images for flyers and social media campaigns from the Content Hub.
    • Source IFUs, flyers, brochures, and posters for the Sales Team from the Content Hub.

 

Qualifications:

  • Fluent in English, both in written and oral.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
 
Nice to have:
  • Bachelor’s degree in marketing, business, or a related field.
  • Proven experience in event coordination and marketing support.
  • Proficiency in the MS Office suite.
