Position Overview
The Manager of Order Management is responsible for overseeing and directing the day-to-day activities of the Order Management Team. They demonstrate the ability to work on complex accounts, ensuring relevant information is provided to customers. The manager maintains high-quality control, creates and optimizes order management metrics, and develops/improves processes for efficient order entry. Key responsibilities include reviewing orders for accuracy, resolving processing issues, and acting as a subject matter expert in order processing flow. The role involves collaboration with cross-functional partners, implementing process improvement initiatives, and ensuring operating and quality standards are met.
This is a hybrid position with an in-office expectation of at least 3 days per week in our Sunnyvale, CA office.
What You’ll Do
- Oversee, guide, and direct day-to-day activities of the Order Management Team
- Demonstrated ability to work complex accounts to provide relevant information to the Customer
- Maintain a high degree of quality control and validation of the completed work
- Create and optimize order management performance metrics that will assist in improving productivity, efficiency, quality, and customer satisfaction, monitor and allocate resource accordingly
- Work to develop and improve processes around the following order entry steps:
- Process customer orders between systems, business partners, and customers, ensuring all necessary documentation is completed accurately and timely
- Review incoming orders for accuracy, contract compliance, and business guidelines
- Enter order, routing, and financial data in systems to ensure timely processing and shipping, delivering a high level of quality that minimizes the risk of delays
- Be able to identify system error and resolve issues with IT team
- Resolve order processing and invoicing issues, escalating when necessary
- Ensure the accuracy and timeliness of order entry and validation processing
- Act as a Subject Matter Expert for the order processing flow (Systems and Processes)
- Coordinate with other Departments regarding order status
- Maintain up to date files according to the standard operating procedure. Ensure copies of orders and return orders are given to appropriate Partners
- Proactively identify issues, consider alternatives, and take corrective action to resolve problems
- Prioritize tasks accurately and in a timely manner
- Collaborate with and support Team members. Participate in problem solving and Team activities
- Demonstrated ability to lead, implement, and communicate process improvement initiatives
- Partner with business process owners, solution architects, and subject matter experts to plan, manage, and deliver the design, testing, and implementation of systems supporting Order to Cash functions.
- Engage cross functional partners to drive sustainable process improvements
- Maintain customer data such as ship-to addresses and essential contact lists
- Coordinate and assist with internal questions related to order processing
- Perform duties and special requests as required by team leader and manager to ensure timely order processing and high customer service
- Ensure operating and quality standards are met based on service objectives
What We’re Looking For
- Bachelor’s degree in Finance, Accounting or other business degree
- Demonstrated experience and ability (minimum 3 years) supervising and leading teams in a fast-paced, high volume organization
- Order Management/Customer Support experience: order processing, invoice processing, etc.
- Subject Matter Expertise in MS Office and NetSuite, plus ideally Salesforce, EDI, RPA, and Master Data management
- Strong written, verbal communication, and presentation skills
- Financial reporting experience strongly preferred
- Ability to manage a team by training/coaching team members, resolving conflict, and etc
- Ability to perform efficiently and effectively under time constraints
- Demonstrated ability to manage multiple projects simultaneously
- Demonstrated ability to meet Deadlines
- Open and willing to embrace changes, as well as to new ideas and approaches
- Ability to apply deep functional knowledge to complete Department tasks, supervise and train Teams, and problem solve complex/escalated issues

Compensation Range
$115,000—$120,000 USD
