Position Overview
Ceribell is currently seeking an Order Management Specialist. We are looking for a highly motivated individual who thrives in a fast-paced work environment. This individual is a key player to the service we provide to our customers. Order Management will ensure customer orders and internal orders are processed in an efficient and timely manner in compliance with company requirements and quality expectations and help ensure an excellent customer transaction experience. While processing orders, you will be responsible for maintaining effective communication with other individuals and departments as necessary. This individual will be administrating and expediting orders, daily processing Commercial orders, Internal orders, Pilot, RMA, Service replacement orders, warranty, Clinical Study, create cases if needed. This role will be responsible for improving Ceribell customers’ experience from ordering to receiving and will drive resolution of customer and product issues by working closely with the Manufacturing, Sales, and Finance departments. This person is willing to wear several hats within the department and ready to roll up her/his sleeves when needed.
What You’ll Do
- Develop order management and customer service procedures, policies, standards and training to support business scale up
- Review contracts and order paperwork for completeness and accuracy
- Process customer orders in Salesforce and NetSuite in an efficient and timely manner, while maintaining open communication with the Operations and Sales teams to allow efficient and accurate fulfillment
- Prepare and deliver invoices to customers
- Establish strong relationship with customer payables department and initiate outreach to collect past due invoices
- Maintain an open line of communication with customers and the Sales team to provide updates on order status and other information
- Support the Sales team in onboarding customers to ensure a flawless transition
- Ensure customer records and sales order data are maintained with accuracy and integrity within Salesforce and NetSuite
- Support the Finance team implementing billing and payment system improvement and automation
- Work with customers to address issues to ensure effective and long-term problem resolution
- Create scripts and training to streamline and standardize call handling and customer interactions
- Proactively communicate issues back to management and follow order management processes
What We’re Looking For
- Prefer bachelor’s degree from an accredited college
- Prefer experience with order entry in Salesforce and NetSuite
- 5+ years’ experience in Order Management, Customer Service, or Sales Operations
- Accounting background is a plus
- Knowledge of ASC606 is a plus
- Ability to excel in a fast growing/fast paced environment, delivering accuracy while managing to deadlines
- Ability to work in a high-pressure environment with extended hours & weekends required during end of quarter
- Able to anticipate change and react efficiently; comfortable with ambiguity
- Extreme attention to detail
- Excels under pressure, maintaining a calm demeanor
- Able to handle multiple competing priorities and requests
- Good understanding of data structure
- Superior verbal and written communication skills
- Ability to communicate effectively with senior executives and customers
- Discretion in handling confidential materials and issues
- Works well independently and with a team

Compensation Range
$90,000—$95,000 USD
