Reporting to: Office Manager/Executive Assistant to C-Level

 

Position Overview

We are seeking a dynamic candidate who will be responsible for a wide range of office operations, administrative and secretarial support activities. The ideal candidate must have the ability to multi-task and priorities responsibilities under minimum supervision.

 

Key Accountabilities:

Office Operations/Administration
  • Answer and direct main line calls, greet and attend to visitors in a professional manner
  • Prepare the office and conference rooms for events and meetings
  • Receive, sort and forward incoming mails
  • Work with Building Management and ensure the office is kept in impeccable condition
  • Manage all office and pantry supplies
  • Manage office operations-related vendors e.g. IT, printer, courier, maintenance etc.
  • Manage onboarding of new employees
  • Initiate planning of company events and activities
  • Any other tasks as required

 

Secretarial Support

Support Executive Team with travel bookings, meeting scheduling, credit card and expense claims, document control (e.g. formatting, printing and binding etc.) and any other tasks as required.

 

Professional Experience

  • 1-2 years’ of relevant work experience
  • Prior experience in healthcare/pharmaceutical industry preferred

 

Skills

  • Excellent verbal and written communication skills
  • Excellent organizational skills, attention to detail and ability to multi-task
  • Ability to maintain discretion and high-level of confidentiality
  • Projects professional image when interacting with clients, vendors and colleagues
  • Proficient in Microsoft Office e.g. Outlook, Word, Excel, PowerPoint, Teams etc.
